Billing
What each part of billing controls, what your plan status means for your estimator, and who on your team can change it.
Company Settings → Billing shows which plan your company is on and whether it's paid up. The plan belongs to the company, not to any one person — one flat price covers everyone on your team. Only owners and admins can open it — members don't see the tab.
What each part of billing changes
| Page | What it controls | What it changes for you and your homeowners |
|---|---|---|
| Plans & Pricing | Which plan you're on, monthly or yearly, and the one-time setup fee | What you pay. Ultimate adds follow-up our team runs for you — your estimator and dashboard are the same on both plans |
| Partner Billing | Whether a partner pays for your plan, or had your setup fee waived | If your partner pays, there's no price or Manage billing in the app — changes go through your partner |
| Manage Billing | Your card, invoices, billing email and plan switches, if you pay us by card | Only owners can open it |
| Failed Payments | What happens when a payment doesn't go through | A warning banner for your whole team — and if it isn't fixed, homeowners can't use your estimator |
| Canceling Your Plan | Ending your plan | On your end date your team loses access and your estimator goes offline |
What the Your plan card shows
The tab has one card, Your plan:
- The plan name — Starter or Ultimate.
- A status badge — see below.
- What the plan includes — the same list you saw when you chose it.
- The price, for example "$399.00 / month". It never includes the one-time setup fee, and it's hidden if a partner pays for your plan.
Under that, you'll see one of three things:
| Who's looking | What they see |
|---|---|
| An owner, if you pay us by card | A Manage billing button |
| An admin, if you pay us by card | "Only a company owner can change the plan or update the payment method." |
| Anyone, if a partner pays for your plan | A note asking you to contact your partner about changes, and no button |
Invoices, your card, your renewal date and your billing email aren't shown in the app, and there's no plan picker once you've subscribed. They all live in Manage billing.
What does my plan status mean?
| Badge | What it means | Your estimator | What to do |
|---|---|---|---|
| Active | You're paid up | Live | Nothing |
| Cancels on (date) | Your plan was canceled and runs until that date | Live until that date | Change your mind before then if you want to keep it |
| Past due | A payment failed and we're retrying the card | Still live | Update your card |
| Unpaid | The retries ran out | Offline | Update your card now |
| Incomplete | Your first payment didn't go through | Offline | Update your card |
| Paused | This shouldn't happen | Offline, with no warning banner | Email support@instantestimatehq.com |
Your dashboard keeps working in every one of these. It only locks when a plan actually ends — then everyone who signs in sees Choose your plan instead. If a partner pays for your plan, the badge always says Active. If you ever see a badge that isn't listed here, email us.
