CSV Import & Export

Editing your equipment in a spreadsheet — what the export includes, how an import changes your prices, and the rules that catch people out.

Export CSV and Import CSV, above the equipment editor in Company Settings → Price Book, let you edit every system's equipment in a spreadsheet instead of one system at a time. An import changes exactly what saving in the editor would — homeowners see the new prices from their next estimate.

What the export includes

Export CSV downloads equipment-pricing-YYYY-MM-DD.csv, with one row for each system, option and size.

  • Only systems that already have saved equipment are included. A new account exports just the header row — start from Reset to defaults or the editor, then export.
  • Hydronic heating and Multi-Zone Mini Split aren't included in either direction. Price them in the editor.
  • Single-Zone Mini Split sizes are in tons: 0.75, 1, 1.25, 1.5 and 2 are 9,000, 12,000, 15,000, 18,000 and 24,000 BTU.

Importing

Import CSV opens Import Equipment Pricing. Choose your file and you'll see what will change — how many systems, and any photo changes — before anything is saved. Nothing changes until you click Apply Changes.

The rules

  1. Only systems in the file can change. Leave a system out and it's untouched.
  2. A system in the file is replaced completely. Every option and size is rewritten from the file, so a row you deleted becomes a $0 cost with no specs — and a $0 cost isn't priced. Keep every row for each system you import.
  3. One name and two material costs per option. Each option's name comes from its smallest size, and its materials from its first row at 2.5 tons or under and its first row over 2.5 tons. Different values on other rows are ignored.
  4. A blank or N/A photo cell removes the photo. Leave the value from the export in place to keep it. A link starting with https:// is downloaded and stored each time you import it, up to 5 MB. Every size of one option must have the same value.
  5. Both price columns are imported, whatever your pricing mode — so an import can change the prices for the mode you're not using, too.

If the file is rejected

Nothing is saved while there are errors — the dialog lists the first ten. The ones you're most likely to see:

MessageWhat to fix
CSV file must have a header row and at least one data row.The file is empty, or only has headings
Column 5: expected "Equipment Name (Edit)", got "…".A column has been moved, renamed or deleted — keep the export's columns in order
Row 7: expected 12 columns, got 11.A row has a missing or extra cell, often from a comma inside an unquoted name
Row 7: unknown system ID "…".A System ID was changed, or the row is for a system that can't be imported
Row 7: invalid equipment cost "…".A cost that isn't a number, or is negative — the same goes for flat price and material cost
Tier image for … is inconsistent across rowsThe photo cell differs between sizes of the same option
